What makes an invoice a tax invoice

If you're registered for GST, the document you send has to carry enough information for your customer to claim the GST back. IRD calls this taxable supply information, and what's required depends on the size of the invoice.

The template above handles all three — it asks for your customer's address because the moment a job goes over $1,000 you need it, and it's easier to have it than to reissue. If you're not registered for GST, untick the box and it produces a plain invoice with no GST on it, which is what you should be sending.

Questions people actually ask

Do I need to be GST registered to invoice?

No. You must register once your turnover passes $60,000 in any 12 months, and you can register voluntarily before that. Under the threshold and unregistered, you send a normal invoice and don't charge GST — charging it when you're not registered to collect it is the mistake to avoid.

What invoice number should I start at?

Anything, as long as it doesn't repeat. Sequential is easiest to defend if you're ever asked to account for a gap, which is why this starts at 0001.

How long do I have to keep a copy?

Seven years. A folder of PDFs is fine — the requirement is that you can produce them, not that they live in any particular system.

When should I be paid by?

Whatever you put on the invoice, so put something. The 20th of the following month is the NZ convention; plenty of trades now use 7 or 14 days. An invoice with no due date gets paid last. There's more in our guide to getting paid on time.

Where this stops being enough
